BillCircle Terms of Service

These terms govern use of BillCircle, a shared-bill service operated by Kayus Systems. During the current pilot, the connected Meta app may still appear as Kayus Shared Bills Pilot.
1. What BillCircle does
BillCircle helps residential communities, mini-estates, hostels and shared households organise shared expenses, work out what each property should pay, notify residents, display payment instructions, record resident payment reports and support administrator review.
2. BillCircle does not hold resident contribution money
Payments for shared contributions are made directly by residents to the bank account nominated by their community. BillCircle is not a bank, payment institution, escrow service or custodian of resident contribution funds.
3. Account registration and phone verification
When public registration is available, an administrator must provide their own name, email address and WhatsApp number and confirm control of that number. You must not register with another person's number or attempt to take over another user's BillCircle identity.
If a verified WhatsApp number already belongs to a resident or administrator record that does not yet have web sign-in credentials, BillCircle may safely add sign-in access to that same user identity rather than create a duplicate account. Existing sign-in credentials are not reset through the normal registration flow.
4. Administrator responsibilities
Community administrators are responsible for keeping property, resident and payment-account details accurate; checking bill details before sending; confirming that reported transfers are actually visible in the nominated account; and rejecting inaccurate payment reports where necessary.
5. Resident responsibilities
Residents are responsible for using the correct bank details, entering accurate payment-report amounts, protecting their own banking credentials and notifying their administrator if a bill or payment record appears incorrect.
6. Payment reports are not automatic settlement
A resident's report that a transfer was made is not treated as confirmed money received until an authorised administrator confirms it in BillCircle. Confirmed payment status is therefore based on administrator review, not merely on a resident-submitted claim.
7. Trial and service availability
BillCircle may provide a 14-day trial or other trial period shown during signup. Features, limits and workflows may change as the service develops. We aim to keep the service available and accurate, but temporary interruptions, provider outages or maintenance may occur.
8. Acceptable use
You must not use BillCircle to impersonate another person, submit knowingly false payment information, attempt unauthorised access, interfere with the service, send unlawful content or use another community's information without permission.
9. Account and messaging access
BillCircle uses web sign-in credentials for administrators and WhatsApp/phone identity for resident messaging. You should promptly tell your administrator or Kayus Systems if your number changes or you believe someone else has gained access to it.
10. Subscription access
BillCircle may provide trial or paid community-level access. Expiry or suspension can prevent new bill creation while preserving historical records and payment-review access where needed. Any BillCircle subscription payment is separate from resident shared-bill contributions.

Our collection and use of personal information is described in the BillCircle Privacy Policy.
12. Limitation of responsibility
BillCircle provides software for organising shared-bill workflows. The community remains responsible for the underlying bill, the nominated bank account and administrator confirmation decisions. To the extent permitted by applicable law, Kayus Systems is not responsible for losses caused by incorrect bank details supplied by a community, unauthorised use of a user's device or number, incorrect payment claims, banking-provider failures or events outside BillCircle's reasonable control.
13. Changes and termination
We may update these terms as BillCircle develops. A community or user may request closure, subject to retention of records reasonably needed for security, dispute resolution, billing/payment history or legal obligations.
